INTERA Incorporated is seeking a positive, enthusiastic Office Manager to manage our Richland, WA, office. This is an important position to us since you will be interacting with most of our local employees daily, and with many others in our offices across the country. Responsibilities
There is no typical day in the life of an Office Manager as you will be handling a wide range of administrative and support related tasks. For this reason, you must be able to work independently with little or no supervision and be an energetic and eager representative of INTERA’s culture. Responsibilities include but are not limited to:
- Independently and directly managing the day-to-day business office operations for an office of 35 employees including overseeing all details of office facility management
- Managing relationships with all vendors, service providers, and landlord
- Managing all aspects of office supply acquisitions and inventory
- Periodically performing cost analysis of vendor purchases to ensure the best value
- Ensuring office efficiency is maintained by planning and executing the procurement of office equipment, monitoring office layouts and office systems while maintaining a safe and secure working environment
- Independently managing all details of internal and external office moves, including office set ups for new employees that require coordination with the IT department for the shipping, setup, and maintenance of hardware
- Being the point person for all maintenance, mailing, shipping, supplies, equipment, and errands
- Handling telephone communications and receiving visitors; providing general support to visitors
- Organizing and scheduling meetings, appointments, office staff activities to ensure maximum efficiency while maintaining shared spaces and conference rooms between meetings
- Participate actively in the planning and execution of company events
- Manage relevant databases
- Communicate with INTERA’s corporate headquarters to support and coordinate with the HR, IT and Accounting teams
- Partner with HR to maintain office policies as necessary and assist with the orientation of new staff members while positively representing INTERA’s culture
Qualifications
- Highly skilled in Microsoft Office Suite (Word, Excel, PowerPoint) and Outlook
- Detailed oriented, organized, and self-motivated
- Excellent interpersonal skills and with the ability to clearly write and verbally communicate with people at all levels of the company
- Proven skill in delivering exceptional customer service
- Experience with office management preferred, but not required
